Public Services Service Desk: Opening and Closing Proceedures

BIXLER LIBRARY

Opening responsibilities:

  • At 7:45am, pick up key at Miller Library service desk. Keys for the branches are located in the supplies drawer. Enter through the door leading to the elevator, using your ID card for access.
  • Unlock the front door. Use the allen wrench/hex key in the drawer at the service desk to secure push bar.  To do this, push in the bar and turn the key, this will keep the bar in the open position. This allows you to close the doors for times when the music building is loud, while allowing people to enter and exit the library.
  • Turn on all the lights.
  • Make sure the library is neat in appearance (i.e. tidy all areas, recycle any paper left at the printers)
  • Fill all printers with paper and check for any error messages.
  • Check the book drop and check in any materials, then add to the to-be-shelved cart.

Closing responsibilities:

  • 1 hour before closing, walk through the library and let patrons know the library will be closing in 1 hour.
  • 15 minutes before closing, close the main doors. Walk around the library and tell any remaining patrons that the library is closing in 15 minutes.
  • Make sure all returned items are checked in, including headphones and chargers.
  • Make sure all the windows are closed and locked. Turn off any fans and/or air conditioners.
  • Collect and scan any loose books, scan them in sierra as "count use". Add the books to the to-be-shelved cart.
  • Lock the front door using the allen wrench/hex key in the drawer at the circulation desk. Be sure the door handles are locked as well. People will be able to exit but not enter through the doors at this time.
  • Turn off the lights.
  • Pull on the door as you are leaving and make sure it is locked.

 

MILLER LIBRARY

Opening Responsibilities:

  • Enter at Street level by 7:45 a.m., through the door leading to the elevator, using your ID card for access.
  • Write your name on the whiteboard easel at the service desk.
  • Set up the computer: Login to Sierra, LibAnswers, and your Colby Gmail for Google Chat. Open LibGuide and Colby Libraries home page.
  • Check the printers for errors and paper supply. FILL the printers with paper, including the 2nd floor. Recycle any waste or unused paper from the night before.
  • Empty the drop box located outside of the front doors by using the key at the desk. Add these books to the returns cart and check them in.

Closing Responsibilities:

  • 1 hour before, a co-worker or staff member will inform all patrons the library will be closing in an hour.
  • Check in all books on the returns cart and add them to the to-be-shelved area.
  • Close the doors 15 minutes before closing, walk through the library to inform patrons the library will be closing in 15 minutes. Walk through the study spaces, stacks, and stairwells.
  • Collect and scan all loose books found in the library in Sierra as "Count Use" from the drop down. Add the books to the to-be-shelved cart.
  • Call Security (Dial 5530) before closing and inform them that you are closing Miller Library.
  • Miller lights go off automatically at closing. If there are people packing up on the main floor, turn on some of the lights with the switches above the laptops at the service desk. Turn them off before you leave. Additionally, you will need to turn off the lights at the service desk area, located by the catalog computer as you exit the library.
  • After making sure there is nobody still in the library, exit with your supervisor and pull on the door to be sure it is locked.

 

OLIN LIBRARY

Opening responsibilities:

  • At 7:45am, pick up key at Miller Library service desk. Keys for the branches are located in the supplies drawer. Enter through the door leading to the elevator, using your ID card for access.
  • Once you have opened the library, secure both door push bars with allen wrench/hex key and lock the door handle with the library key.
  • Set up the computer: Login to Sierra, LibAnswers, and your Colby Gmail for Google Chat. Open LibGuide and Colby Libraries home page.
  • Check the printers for errors and paper supply. FILL the printers with paper, including the 2nd floor. Recycle any waste or unused paper from the night before.
  • Check book drop and check in anything to add to the to-be-shelved cart.

Closing responsibilities:

  • 1 hour before closing, let patrons know you will be closing in an hour.
  • 15 minutes before closing, close the library doors. Let patrons know you will be closing in 15 minutes.
  • Close all outside windows in library. Push in all chairs.
  • Use allen wrench / hex wrench-on the key ring in the drawer and "release" the push bars on the main doors. Check that the outside handle is locked by trying to move it with your hand. If the door is NOT locked, take the key ring (the one you're using with the Allen wrench) and lock the door now, then finish the closing procedures. People can still leave but not enter at this time.
  • Collect and scan all loose books found in the library in Sierra as "Count Use" from the drop down. Add the books to the to-be-shelved cart.
  • Confirm that all people are out of the library (including the restroom).
  • Turn off lights: 6 switches behind circulation computer on the right, the switch at the entrance, the round room. NOTE: the library has night lights, so there will still be lights on when you leave.
  • Check that entrance door is locked from outside. If it isn't locked, then get the keys from inside and lock it. The return the keys to the drawer.
